Version 1.0 · Effective [DATE OF PUBLICATION]
Fairdos exists to split shared costs between friends. It needs surprisingly little about you to do that, and it gets rid of most of it automatically.
Fairdos is operated by Jaspar Solutions Ltd, a company registered in England and Wales (company number 11261735), whose registered office is at [REGISTERED OFFICE ADDRESS].
For the purposes of UK data protection law we are the data controller for the information described here. You can reach us at support@fairdos.app.
We are registered with the Information Commissioner's Office under registration number [ICO REGISTRATION NUMBER].
| What for | Lawful basis |
|---|---|
| Running the group, calculating balances, showing who owes whom | Performance of a contract with you |
| Applying and restoring an unlock you have bought | Performance of a contract with you |
| Sending expiry warnings and your data export before deletion | Performance of a contract, and our legitimate interest in not losing your records |
| Diagnosing crashes and keeping the service secure | Our legitimate interest in a working, secure app |
| Keeping records of purchases | Legal obligation (UK tax and accounting) |
We do not use your information for advertising or profiling, and we do not make automated decisions that produce legal or similarly significant effects.
This is the part most apps are vague about, so here it is plainly.
| What | How long |
|---|---|
| A free group | Until 90 days after the last activity in it. The clock measures inactivity, not age — a group used every week never expires. |
| An unlocked group | Until 3 years after the last activity, then archived to members' devices and removed from our servers. |
| Warnings before deletion | Sent at 14 days, 7 days and 1 day beforehand. |
| Your copy | A complete export is delivered to group members' devices before anything is deleted from our servers. |
| Purchase records | 6 years, as required for UK tax and accounting. |
| Diagnostic and crash data | No more than 90 days. |
When a group is deleted from our servers, it is deleted — not archived, not anonymised and retained, not kept for analysis. Copies already delivered to members' devices remain on those devices under their control.
Other members of your group see the expenses, balances and edit history for that group. That is the point of it. They do not see anything about your other groups.
We use a small number of service providers who process data on our behalf under contract:
We do not sell your information, we do not share it with advertisers or data brokers, and we do not pass it to anyone else except where we are legally required to.
Where any provider processes data outside the UK, that transfer is covered by an adequacy decision or by International Data Transfer Agreement safeguards.
Data is encrypted in transit and at rest. Access is limited to the people who need it to run the service. Because we never store bank account details or card numbers, the most sensitive thing in the system is a record of who bought the pizza — which is a deliberate design choice, not an accident.
No system is perfectly secure. If a breach occurs that is likely to result in a risk to your rights and freedoms, we will notify the ICO within 72 hours and tell you where the law requires it.
Under UK data protection law you have the right to:
Email support@fairdos.app and we will respond within one month. There is no charge.
One honest limitation: expenses you entered form part of a shared record that other members rely on to settle up fairly. If you ask us to erase your entries from an active group, we may need to tell the other members that entries have been removed, so the remaining balances still make sense.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We would rather you told us first so we can put it right.
Fairdos is not intended for children under 13, and we do not knowingly collect information from them. If you believe a child has provided us with personal information, contact us and we will delete it.
If we change this policy we will update the version number and date at the top. If a change materially affects how we use your information, we will tell you in the app before it takes effect rather than relying on you to notice.
